About this policy
Pranic Healing Cairns (Bruce Sexton) provides pranic healing treatments, courses, meditation sessions, and sells books and related products.
Because we provide a health service, we are covered by the Privacy Act 1988 (Cth) and the Australian Privacy Principles, regardless of the size of our business. We take that seriously. This policy explains what personal information we collect, why, who we share it with, and how you can access, correct or complain about it.
Privacy is very important to us. If anything here is unclear, please ask.
What personal information we collect
Depending on how you deal with us, we may collect:
Contact and identity details – your name, email address, phone or mobile number, and postal or billing address.
Personal details relevant to your care – your date of birth and occupation, where you provide them.
Health information – see the next section.
Booking and appointment details – the sessions you book, attend, reschedule or cancel.
Course and event records – courses you register for, attend and complete, and any certificates issued.
Purchase records – orders, invoices and receipts for courses, books and other products. We do not see or store your full credit card details; payments are handled by our payment provider.
Communications – enquiries, emails, form submissions and live chat conversations with us.
Website usage information – see “Cookies, analytics and advertising” below.
If you contact us anonymously or under a pseudonym, we will deal with you that way where it is lawful and practical to do so.
Health information
Health information is treated as sensitive information under the Privacy Act and has stronger protections than ordinary personal information. We handle it accordingly.
Before a healing treatment we may ask about your presenting concern and its severity, relevant medical history, medications, pregnancy, blood pressure, psychological conditions, contagious conditions, injuries, and other therapies you are using. We ask these questions for clinical reasons – some conditions change how a treatment should be given, or mean part of it should be avoided.
Providing this information is voluntary. Our intake questionnaire is optional, and you can choose to tell Bruce in person instead, or to leave questions unanswered. You can book a session without providing any health information in advance.
We collect health information only with your consent, and we use it only to provide and follow up your care. We do not use it for marketing. We do not disclose it to advertising platforms, and we do not disclose it to anyone else unless you consent or the law requires it.
If you are under 18, we ask that a parent or guardian be involved in providing consent and health information.
How we collect personal information
We collect information directly from you wherever we can – when you book a session, fill in a form on our website or at an event, register for a course, place an order, send an enquiry, use our live chat, or speak with us in person or by phone.
We also collect website usage information automatically when you visit our site, as described under “Cookies, analytics and advertising”.
Why we use personal information
We use personal information to:
– provide healing treatments, courses, meditation sessions and other services
– manage bookings, attendance, payments, invoices and receipts
– keep clinical records and follow up after a session
– respond to your enquiries
– send you information about our services, courses and events, where you have agreed to receive it
– meet our legal and record-keeping obligations
We do not use or disclose personal information for a purpose unrelated to the services we provide and that you would not reasonably expect, except with your consent or where the law requires it.
Who we share personal information with
We do not sell personal information.
We share personal information only where it is necessary, and only with:
– service providers who help us run the practice – our booking, customer records, email, accounting, e-commerce, website hosting, SMS and live chat providers
– our payment provider, to process payments
– professional advisers, or where disclosure is required or authorised by law
These providers are bound to handle your information appropriately and to use it only for the services they provide to us.
We have a duty of confidentiality to our clients. It applies except where you consent to disclosure or the law compels it.
Information sent overseas
Our main client records – customer records, forms, bookings, invoicing, email and website analytics – are held in Zoho’s Australian data centres. Zoho is a global company headquartered in India, and its staff may access information from outside Australia for support, maintenance and troubleshooting.
Other information is disclosed to recipients overseas:
- our website analytics and advertising tools, provided by Google and Meta, transfer information to the United States
- our SMS provider processes information in India
- our website hosting and some communication services may store or process information outside Australia, including in Singapore and the United States
Where information is handled overseas, we take reasonable steps to ensure it is protected appropriately. Website analytics and advertising information is only shared if you have consented on our website.
Marketing and your choices
We only send marketing emails or text messages to people who have agreed to receive them. Every marketing email has an unsubscribe link, and you can reply STOP to any marketing text message. You can also change what you hear from us using the preferences link in our emails, or by contacting us.
Unsubscribing from marketing does not affect administrative messages we need to send you about a booking, a course or an order.
Email tracking. Our email system records whether you opened an email we sent you and whether you clicked a link in it. We use this to see which topics are useful and to avoid sending you things you are not interested in, and it may be recorded against your contact record. If you would prefer not to be tracked this way, most email programs let you block images from loading, which prevents open tracking.
Cookies, analytics and advertising
When you visit this website we use cookies and similar technologies. Some are necessary for the site to work – for example, remembering what is in your shopping cart or keeping you logged in. Others are optional, and we only use those if you agree.
The first time you visit, you will see a consent notice. Nothing optional runs until you have made your choice, and you can change your mind at any time by clearing your cookies for this site and reloading. If you are visiting from the European Economic Area or the United Kingdom, nothing optional runs unless you actively accept it.
One tool on this site is not optional, because it protects the site itself rather than helping us market to you.
Spam and fraud protection. We use Google reCAPTCHA on our login, registration and checkout pages to prevent automated abuse, including attempts to test stolen card numbers. reCAPTCHA collects information about your device, IP address and how you interact with the page, and sends it to Google in the United States. Google’s Privacy Policy and Terms of Service apply to that information.
What the optional tools do
Analytics. We use Google Analytics and Zoho PageSense to understand how people find and use the site – which pages are visited, how long people stay, and where they leave. Zoho PageSense also lets us see how our contact and signup forms are used, so we can fix parts that confuse people. This information is aggregated and is used to improve the site. Zoho PageSense stores its data in Australian data centres.
Live chat. We use Zoho SalesIQ to provide the chat window in the corner of the site. It also records which pages you visited and how long you spent, so that if you start a conversation we have some context. If you start a chat, we keep a record of it so we can help you.
Advertising. We use the Meta (Facebook) pixel so we can share relevant information with people who have visited our site, and so we can tell whether our advertising is working. Some of this information is sent from our web server directly to Meta rather than from your browser.
Health information – what we deliberately do not do
Because of the nature of our work, we have gone further than we are required to.
We have configured our advertising tools so they do not send the page titles, page addresses or page categories you viewed. That means we do not tell advertising platforms which healing, course or treatment pages you looked at.
We do not place any advertising or analytics tracking on our client intake questionnaire, and we never share the health information you provide to us with advertising platforms or any other third party for marketing purposes.
You can decline optional cookies and still use the site normally, though you may find some conveniences do not work as smoothly. You can clear cookies at any time through your browser settings.
How we keep your information secure
We take reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure. This includes using reputable providers with appropriate security, limiting who can access records, and using password protection and two-factor authentication on our systems.
If we ever became aware of a data breach likely to cause you serious harm, we would notify you and the Office of the Australian Information Commissioner, as the Notifiable Data Breaches scheme requires.
How long we keep your information
We keep client health records for at least seven years after your last appointment, in line with standard practice for health service providers. Financial and transaction records are kept for at least seven years as required by tax law. Other information is kept only as long as we need it, and is then deleted or de-identified.
Accessing and correcting your information
You can ask us for a copy of the personal information we hold about you, and you can ask us to correct anything that is wrong or out of date. Contact us using the details below. We will respond within a reasonable time, and there is no charge for making a request. If we cannot give you access, we will explain why in writing.
Complaints
If you think we have breached the Australian Privacy Principles or mishandled your personal information, please tell us first. Contact Bruce using the details below, describing what happened.
We will acknowledge your complaint promptly, investigate it, and respond in writing – normally within 30 days. If we need longer, we will tell you why.
If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at www.oaic.gov.au, by phone on 1300 363 992, or by writing to GPO Box 5218, Sydney NSW 2001.
